Attachment Management & Audit

Attachment Management & Audit

What Is the Attachment Management Center?

The Attachment Management Center is a dedicated panel built into Content Formatting Macros that gives Confluence space admins a single place to:

  • View all attachments across a space (or filtered to a specific page)
  • Filter by: file type, uploader, upload date, file size, or linked/unlinked status
  • Bulk label attachments for categorization
  • Bulk delete unused or orphaned attachments
  • Identify orphaned files - attachments uploaded to a page but not referenced in any page content

How to Access

  • Globally: The Attachment Management Center is accessible globally - you do not need to go through Space Settings

Admin Configuration

Before using the Attachment Center, enable it per-space:

  1. Go to Space SettingsContent Formatting MacrosAttachment Center
  2. Toggle Enable Attachment Center to On
  3. Optionally configure:
    • Storage warning threshold: Get a visual indicator when total attachment storage exceeds a set amount
    • Orphan detection: Automatically flag attachments not referenced in page content

Key Features

File Filtering

Filter the attachment list by:

  • File type (PDF, PNG, XLSX, DOCX, etc.)
  • Upload date range
  • Uploader (Confluence user)
  • Page (see all attachments on a specific page)
  • Linked status (Linked to page content vs. Orphaned)
  • File size (find large files consuming storage)

Bulk Operations

Select multiple attachments and apply:

  • Add Label: Tag attachments for organization
  • Remove Label: Remove an existing label
  • Delete: Permanently delete (with confirmation prompt)

Orphan Detection

Attachments flagged as orphaned are uploaded to a page but not referenced in any content on that page. These are safe candidates for deletion - but verify before bulk-deleting, as some attachments may be referenced from other pages or spaces.

Best Practices

  1. Run a quarterly audit using the Attachment Center to identify and remove stale files
  2. Label important attachments (e.g., approved, final, archived) to distinguish them from drafts
  3. Set a storage threshold to get early warning before Confluence storage limits are reached
  4. Review orphaned files before deleting - check if they are referenced from external sources
  5. Train page authors to delete old attachment versions when uploading new versions

Important Note

Deletions via the Attachment Center are permanent. Confluence does not have a recycle bin for attachments. Always verify the file list before confirming a bulk delete.
