User & Role Management
Teams
Teams are named groups of Jira users that the app uses for capacity planning, time tracking filters, and portfolio grouping.
Creating a Team

Open the app → Time Tracking or Capacity Planner module

Click Teams in the sidebar

Click Create Team

Fill in the form:

Click Save

| Jira Group | Members auto-sync from the Jira group - changes to the group reflect automatically |
Use Jira Group if team membership is already managed in Jira user management.
Managing Teams
- View all teams in the filterable Teams list
- Edit: click the team name → Edit → modify → Save
- Delete: click the team name → Delete → confirm
- Deleting a team does not affect Jira users or groups
Using Teams Across Modules
- Capacity Planner: Group By → Team
- Capacity Report: Filter by Team
- Time Tracking Report: Filter or Group by Team
- Analytics Dashboard: Team definitions affect team-level capacity views
Programs
Programs group multiple Teams into higher-level organizational structures.
Creating a Program
- Teams → Programs tab
- Click Create Program
- Enter Program Name and select Teams → Save
Hierarchy
Programs create a three-level hierarchy: Program → Team → Members
This hierarchy appears in the Capacity Planner group-by options - select Program → Team → User to see capacity aggregated from top down.
Tips
- One program per department or program increment
- A team can belong to only one program at a time
- Programs are most valuable in the Capacity Planner for leadership capacity rollups
RBAC - Assigning the Member Role
How to Assign
- Open the app → click Settings → RBAC tab → User Roles
- Find the user by name or email in the search bar
- Click the Edit (pencil) icon next to the user's name
- Check the Member checkbox
- Click Save - takes effect immediately, no logout required
How to Remove the Member Role
- Follow steps 1–3 above
- Uncheck the Member checkbox
- Click Save
The user returns to read-only state. Existing time entries are not deleted.
Making Someone a Global Admin
Cannot be done from within the app. Requires Jira site admin access:
- Go to Jira Settings → User Management → Groups
- Add the user to the Jira administrator group (
site-adminsorjira-administrators) - The user is automatically recognized as Global Admin in the app on next access
